Monthly Google Business Profile Management Services

GBP management services are the monthly work that keeps a Google Business Profile accurate and active: posts, photos, review replies, checks on edits made by Google or the public, and a report on calls, direction requests and website clicks. GMB Experts USA does this work as a manager on your profile, and you stay the owner.

What’s included

What do GBP management services include each month?

Management starts where optimization ends. Once the profile is set up correctly, these are the jobs that have to happen every month, or the listing slowly drifts away from the business it describes.

AreaWhat we do each monthWhy it can’t be a one-off
Business detailsCheck the name, categories, hours, holiday hours, phone, website and service area against the live listing, and review every Google update waiting in the dashboard.Google changes listings from user reports and other sources. See how we catch unwanted edits.
PostsWrite and schedule Updates, Offers and Events from what is actually happening in the business: recent jobs, seasonal services, real offers. Basic includes 4 posts a month, Pro includes 8.Google archives posts older than 6 months unless they have a date range, so a profile nobody posts on looks unattended.
Photos and videoAdd the photos you send or approve: finished work, team, vehicles, premises. Retire the ones that no longer match.Customers should recognise the business they meet: current signage, current vehicles, current staff.
Services and productsKeep the services list, descriptions and products in line with what you sell now.A services list from last year brings calls for work you no longer do.
ReviewsReply to new reviews in the tone you approve, flag reviews that break Google’s policies, and keep a review link or QR code in your after-job routine. Fake or attack reviews go to fake review removal.Google recommends short, relevant, timely replies. Its policies ban incentives for reviews and asking only happy customers.
Listings consistencyAfter any change to name, address, phone or hours, check the main directories and data sources show the same details. Larger clean-ups are a citation building project.Conflicting details confuse customers and give Google mixed signals about the business.
Tracking and reportPull Google’s Performance data, check Map Pack positions for the searches agreed at onboarding, and write up what changed and what comes next.See what goes in the monthly report.

No longer on the list: Q&A. Google shut down the Q&A API on 3 November 2025 and has been phasing the Q&A section out of profiles, so we don’t sell Q&A seeding. Google’s built-in chat and call history ended on 31 July 2024; where Google offers it in your region, chat now means a WhatsApp or text-message link on the profile, which we set up and check.

Management vs optimization

How is monthly GBP management different from optimization?

Optimization is a one-time rebuild; management is the monthly upkeep that follows. If the primary category, services or business name are wrong, posting every week won’t fix it, so the rebuild comes first. If that is all you need, our one-time Google Business Profile optimization covers it without a monthly plan.

One-time optimizationMonthly management
GoalFix the foundationKeep the profile accurate, active and protected
WhenNew profile, rebrand, move, or a profile nobody has set up properlyEvery month once the foundation is right
Typical workCategory research, services and products, attributes, description, photo set, duplicate clean-upPosts, photo additions, review replies, Google update checks, listing checks, reporting
EndsWhen the profile matches the business and Google’s guidelinesWhen you cancel. Month-to-month, no setup fees
SuitsOwners who will run the profile themselves afterwardsOwners who don’t have time to post, reply and check every week

Our monthly plans include the optimization pass in the first month, so management starts from a clean baseline.

Ownership and access

Who owns your Google Business Profile when a company manages it?

You do, and Google requires it. Its third-party policy says businesses must keep ownership or co-ownership of their Business Profile at all times, and an agency needs the owner’s express consent to manage it. We ask to be added as a manager, which covers the whole monthly job.

A manager canOnly an owner can
Edit business info, hours, phone, services and attributes; create and schedule posts; manage photos and products; reply to reviews; accept or reject Google updates; download performance dataAdd or remove users, remove the profile, and (as primary owner) transfer primary ownership

To add us: open your Business Profile, go to settings, then People and access, choose Add, enter our email, select Manager and send the invite. Google makes any new owner or manager wait 7 days before they can remove other users, delete the profile or transfer primary ownership, which is a useful safeguard for you.

If a former agency or employee still holds ownership and won’t hand it back, fix that first with owner lockout recovery.

Choosing a provider

How do you vet a GBP management company?

Google publishes rules for agencies that manage profiles, and tips for owners who hire one. Hold any provider, including us, to these:

  • You are told about every change. Google requires agencies to inform owners of all changes and edits to their profile. We list ours in the monthly report.
  • Review replies need your explicit approval. Google says verbal consent isn’t sufficient, so it belongs in the written scope.
  • The fee is for the work, not the listing. Google requires an agency that charges management fees to tell you Business Profile is provided at no extra cost.
  • No guaranteed placement. Google lists guarantees of placement, and anyone claiming to work for Google without a @google.com email, as warning signs.
  • You can leave with your profile. On notice, an agency must let you regain exclusive control within seven business days. As the owner, you can remove a manager from People and access yourself.
  • Fees and services in writing. Google advises owners to agree services and costs up front.

Also walk away from anyone who adds keywords to your business name, buys or incentivises reviews, or wants to create the profile in their own account. Those shortcuts are how profiles end up suspended. To compare providers on scope and reporting, see our GBP management services comparison.

Edit monitoring

How do you catch unwanted edits to a Google Business Profile?

Anyone can suggest an edit to a business on Google Maps, and Google also updates listings on its own. Google says it gathers information from user reports and licensed content, and may apply some user edits without prior review. When it flags an update for you, you have 4 days to accept or reject it; after that, Google may publish it if other public information, such as your website, supports it. A wrong phone number, wrong hours or a closed label can cost calls before anyone notices. If your own edits are stuck on Pending or come back Not approved, see edits pending or not approved.

  • A baseline record at onboarding of the name, categories, address or service area, hours, phone, website and open status
  • Regular checks of the Google updates in the dashboard and of the public listing on Search and Maps
  • Unapproved changes rejected or corrected, and your website fixed where it caused the conflict
  • Escalation when it is more than an edit: repeated spam edits, a hijacked profile or a suspension
  • Every change we saw, and what we did about it, listed in the monthly report

The strongest defence is a website that shows the same name, hours and phone as the profile, because that is the kind of public information Google checks before it publishes an update nobody reviewed.

Reporting

What goes in a monthly GBP management report?

The report answers one question: did the profile produce more customer actions, and why? It uses Google’s own Performance data plus rank checks we run ourselves.

MetricWhat Google countsHow we use it
CallsTaps on the call button on the profileThe main lead signal for most service businesses
DirectionsRequests for directions to the businessThe main lead signal for storefronts
Website clicksClicks on the website link on the profileRead alongside your own analytics, with the profile link tagged so visits can be separated
Messages and bookingsConversations through the profile’s chat option, and bookings completed through a booking providerReported where they are switched on
ViewsPeople who viewed the profile on Search and Maps, each counted once a dayContext for the actions above, not a result on its own
SearchesThe search terms people used to find the business. Google adds them at the start of each month and says they can take up to 5 days to appearShows which services and areas to push in posts and services
Map Pack positionsNot a Google metric: our own checks for the searches agreed at onboardingShows where you appear and where you drop out

Older guides talk about “direct” and “discovery” searches and photo views. Those aren’t in Google’s current Performance report, so they aren’t in ours. Because last month’s search terms can take until about the 5th to appear, the report goes out once they are in. It closes with what we changed, what we noticed (edits, reviews, competitor moves) and three priorities for next month.

Fit

Is monthly GBP management worth it for your business?

It usually pays when Google Search and Maps bring in a real share of your calls and nobody on the team has time to post, reply and check every week. Plans start at one location, so you don’t need to be a chain to use them. It fits best when:

  • You run a single location in a busy category, where competitors post, add photos and reply to reviews
  • You are a service-area business whose hours, service area or phone change with the season
  • You have just recovered from a suspension, hijack or spam edits and want the profile watched from now on
  • You run several locations: see multi-location GBP management for per-location reporting and bulk changes
  • You are an agency that needs the work done under your brand: see white-label GBP management

When you don’t need it: if competition in your category is light and you can give the profile an hour a month, fix it once and run it yourself with our GBP optimization checklist.

Onboarding

How does GBP management onboarding work?

  1. Free audit. Your profile checked against the top three competitors for your main searches, delivered on WhatsApp.
  2. Quote and written scope. The plan, posts per month, who approves review replies, and what you will send us, such as photos and offers.
  3. Access. You add us as a manager from People and access. You stay the owner.
  4. Month one. The optimization pass (categories, services, attributes, photos, duplicates) and a baseline of every field and of current Map Pack positions.
  5. Month two onward. Posts, photos, review replies, edit checks, listing checks and the monthly report.
  6. Every quarter on Pro and Enterprise. A competitor re-benchmark and a review of the plan.
Cost

How much do GBP management services cost?

We quote after the free audit instead of publishing a price list, because the work varies a lot: one location in a quiet category needs far less than a busy metro or ten locations. The quote depends on:

  • Competition for your category in your city
  • The number of locations
  • Review volume, and how many replies need your sign-off
  • How much post and photo material you can supply

Plans are month-to-month with no setup fees. The Basic, Pro and Enterprise plans show what each tier includes. Google Business Profile itself is free from Google: you pay for the work, not the listing. Suspension recovery is quoted separately, after a free diagnosis.

FAQ

GBP management services: common questions

What do GBP management services include?

Monthly work on your Google Business Profile: checking business details and Google updates, writing and scheduling posts, adding photos, keeping services and products current, replying to reviews, checking that directory listings match, and a report on calls, directions, website clicks and Map Pack positions. Fixing the profile itself comes first, as a one-time optimization.

What is the difference between GBP optimization and GBP management?

Optimization is a one-time rebuild of the profile: categories, services, attributes, description, photos and duplicates. Management is the monthly upkeep after that: posts, photos, review replies, edit checks and reporting. Posting won’t fix a profile with the wrong category, so optimization comes first. Our monthly plans include it in month one.

Do I have to give a management company ownership of my profile?

No. Google’s third-party policy says businesses must keep ownership or co-ownership of their Business Profile at all times. Add the company as a manager from People and access. Managers can edit the profile, post, add photos and reply to reviews, but they can’t add or remove users or remove the profile.

Will you reply to reviews in my name?

Only with your explicit approval. Google requires it of agencies and says verbal consent isn’t enough, so we get it in writing. Replies appear as the business, not as a person. We agree the tone with you at the start and send anything sensitive, such as a complaint about a named employee, to you before we post.

How often should a Google Business Profile be updated?

Google doesn’t set a posting frequency. It does archive posts older than 6 months unless they have a date range, and it can apply suggested edits from the public at any time. So check the profile at least weekly and post several times a month. Our Basic plan includes 4 posts a month and Pro includes 8.

Can a GBP management company guarantee Map Pack rankings?

No. Google warns owners about third parties that guarantee placement, and says there is no way to request or pay for a better local ranking. Results depend on relevance, distance and prominence, and distance is the searcher’s location. We report where you rank for agreed searches and what we changed, without promising positions or dates.

How much does GBP management cost, and can I cancel?

We quote after a free audit, based on competition in your category, the number of locations and review volume. Plans are month-to-month with no setup fees, so you can cancel at any time. Google Business Profile itself is free from Google; you pay for the work. Suspension recovery is quoted separately.
